Business Automation

The follow-up never sleeps. Now you can.

Every small business runs on a handful of repeating loops — a lead comes in, a job gets booked, work gets done, an invoice goes out, a review gets asked for (or usually doesn't). Each loop is simple. Each one depends on a busy person noticing at the right moment. Automation replaces the noticing.

The Short Answer

What automation actually means.

It replaces the noticing with triggers, and the acting with rules. A missed call triggers a text back within seconds. A job marked complete triggers a review request. An invoice hitting 30 days triggers a polite reminder.

Nothing new to log into. Nothing for your crew to remember. The software you already pay for starts talking to itself.

The honest test: if a task happens more than five times a week, follows the same steps every time, and doesn't need judgment — it's a candidate. If it does need a human decision, we automate everything up to that decision and hand a person the finished prep. We'll say so plainly when something isn't worth automating.
What We Build

The six that pay for themselves fastest.

These are the patterns that win again and again for dealerships, contractors, clinics and shops across Parker County and beyond.

Lead capture & instant follow-up

Website forms, missed calls and inbox inquiries all get an instant reply and land in one organised place. Follow-ups continue automatically until a human takes over — and stop the moment the customer replies.

Scheduling & reminders

Appointments book against your real calendar, confirmations go out by text, and day-before reminders cut no-shows dramatically — driven by the actual appointment record, not a list somebody maintains.

Invoice & payment follow-up

Invoice statuses in your books trigger polite, persistent reminders by text and email — varied by age and customer — so you get paid without chasing anybody. Stops instantly on payment.

Review & referral engine

Every completed job triggers a thank-you and a direct link to your Google review page, asked at the moment customers are happiest — with unhappy replies routed privately to you first.

Reporting & weekly digests

Sales, service and cash-flow numbers pulled automatically and delivered as one plain-English email every Monday — with the things needing attention flagged at the top.

Data & document workflows

Intake forms standardised, routine documents generated, files named and filed, customer records kept consistent across systems — the invisible plumbing that makes everything else reliable.

Live Automation Demo

Watch one actually run.

Pick a workflow below and watch it fire end to end — the same sequence that runs on a real business, every single time, with nobody at the keyboard.

01Call MissedCrew's on a roof. Phone rings out.
02Text Sent — 9sAutomatic reply, in your business's voice.
03Customer RepliesThread's already open. They didn't call the next name on the list.
04You Take OverAlert with their number and message. Automation stands down.
What this actually does: runs whether you're on a roof, asleep, or three states away. No lead waits more than a few seconds for a reply.
Built Responsibly

Rules before robots.

An automation that texts the wrong thing at the wrong time is worse than no automation. Before anything goes live, every workflow has written answers to five questions.

Qualification

Exactly which events trigger it — and which never should. No texting the same person twice, no firing on test records.

Identity

Every message says who it's from, in your business's voice. We never pretend a robot is a person.

Stop conditions

A reply, a booking, an opt-out or a human stepping in ends the sequence immediately. Nobody gets nagged.

Ownership

A named person receives every conversation, with the customer's full context attached.

Failure handling

When something can't send, somebody gets alerted. Failures are visible, never silent.

Compliance

Business texting has rules — consent, opt-out language, carrier registration. We handle the registration and build the opt-outs in.

Integrations

Plugs into the stack you're already paying for.

No new logins, no switching platforms mid-year. If your business runs on it, there's a good chance we can trigger off it or write into it.

FAQ

Automation questions.

Which tools can you connect?

Common builds involve accounting software (QuickBooks especially), calendars, Google Workspace, Microsoft 365, website forms, spreadsheets, CRMs, field-service software like Jobber or Housecall Pro, and business phone or text lines. The free audit confirms your exact tools connect safely before anything is scoped.

What does the monthly tooling actually cost?

It covers the automation platform and a business text line, including message costs at typical small-trade volume. It's billed to you directly by the platforms, in your name, at cost. We never mark it up, resell it, or hold the account — if you fire us, nothing switches off. Current figures are on the pricing page.

What if it breaks?

Every workflow ships with logging, error alerts and a documented manual fallback, so a failure is visible rather than silent. Thirty days of fixes are included after launch. After that, support means texting William directly — not filing a ticket and hoping.

Can you automate something that still needs my approval?

Yes, and that's often the right answer. We automate everything up to the decision, then hand you a finished draft to approve with one tap. You keep the judgment call; the software does the typing.

Is texting customers legal?

With consent and a working opt-out, yes. Business texting in the U.S. requires carrier registration (A2P 10DLC) and clear opt-out handling — we register the number and build the opt-out logic in as standard. It isn't optional and it isn't extra.

Template or custom build?

If the problem is one every trade has, a template costs less and goes live faster, because the pattern already exists. If it's specific to how your shop runs, a custom build is the right call. We'll tell you which — and it's often the cheaper one. See the pricing page for both.
